Welcome to SubmitX ("we," "us," or "our"). These Terms of Service ("Terms") govern your access to and use of the SubmitX website, our AI-powered job application automation services, resume tailoring, smart recruiter replies, and any related services (collectively, the "Services"). By accessing or using our Services, you agree to be bound by these Terms.

2. Acceptance of Terms

By creating an account, making a purchase, or otherwise using our Services, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree with any part of these Terms, you must not use our Services.

3. Services Provided

SubmitX offers the following services, which may evolve over time:

  • AI Job Application Automation — AI applies to jobs on your behalf, tailors resumes for each role, and submits quality applications on Pro plans.
  • Smart Recruiter Replies — AI drafts professional, context-aware responses to recruiter messages.
  • AI Resume Builder — Generate ATS-matched resumes tailored to job descriptions.
  • Job Board & Search — AI-curated job listings with match scores; no ghost jobs — only verified, active postings.
  • Daily Progress Reports — Track applications, responses, and next steps.

4. Eligibility & User Responsibilities

You must be at least 18 years of age (or the age of majority in your jurisdiction) to use our Services. By using the Services, you represent that:

  • All information you provide is accurate, current, and complete.
  • You will maintain the accuracy of such information.
  • You will use the Services only for lawful purposes and in accordance with these Terms.
  • You are responsible for all activity that occurs under your account.

5. Account Registration & Security

6. Payments, Billing & Renewals

Certain Services require payment. By subscribing or purchasing, you agree to the following:

  • All prices are listed in USD unless otherwise stated.
  • Payments are processed securely through Paddle. We do not store your card information.
  • Subscription plans may renew automatically at the end of each billing cycle unless you cancel before the renewal date.
  • You are responsible for keeping your payment information up to date.
  • We reserve the right to change pricing with reasonable notice. Existing subscribers will be notified before any price changes affect their plan.

7. Refund Policy

You may request a full refund within 14 days of your purchase date. To request a refund, contact us via our Contact page.

8. Cancellation

  • You may cancel your subscription at any time from your dashboard or by contacting support.
  • If you cancel during a billing cycle, your service will continue until the end of the current period.

9. No Job Guarantee Disclaimer

SubmitX provides job application assistance and automation services. We do not guarantee employment, interviews, or any specific outcome. Results vary based on market conditions, individual qualifications, experience, geographic location, and other factors outside our control. Our Services are designed to increase the volume and quality of your job applications, not to promise placement.

10. User Content & Data Usage

By using our Services, you may provide us with personal information including resumes, cover letters, job preferences, and other career-related data ("User Content"). You grant us a limited, non-exclusive license to use this content solely for the purpose of providing Services to you. We will not sell your data to third parties. You retain ownership of all User Content you provide.

11. Privacy & Data Protection

We take your privacy seriously. Our data handling practices include:

  • Encryption of data in transit and at rest.
  • Role-based access controls and activity logging.
  • We never sell your personal data.
  • You may request deletion of your account and data at any time.

12. Prohibited Activities

You agree not to:

  • Use the Services for any illegal or unauthorized purpose.
  • Attempt to gain unauthorized access to any part of the Services or its systems.

  • Interfere with or disrupt the integrity or performance of the Services.

13. Intellectual Property

All content, features, functionality, trademarks, logos, and design elements of the Services are owned by SubmitX or its licensors and are protected by intellectual property laws. You may not reproduce, distribute, modify, or create derivative works from any part of our Services without prior written consent.

14. Limitation of Liability

To the maximum extent permitted by applicable law, SubmitX, its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, use, or goodwill, arising out of or in connection with your use of the Services, whether based on warranty, contract, tort, or any other legal theory, even if we have been advised of the possibility of such damages.

Our total liability for any claim arising out of or relating to these Terms or the Services shall not exceed the total amount you paid to us in the twelve (12) months preceding the claim.

15. Indemnification

You agree to indemnify, defend, and hold harmless SubmitX and its affiliates, officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable attorneys' fees) arising out of or in any way connected with your access to or use of the Services, your violation of these Terms, or your violation of any rights of a third party.

16. Changes to Services or Pricing

We reserve the right to modify, suspend, or discontinue any part of the Services at any time, with or without notice. We may also update pricing for future billing cycles. Active subscribers will receive advance notice of material changes that affect their current plan.

We may update these Terms from time to time. When we do, we will revise the "Last updated" date at the top of this page. Continued use of the Services after any changes constitutes your acceptance of the revised Terms. We encourage you to review these Terms periodically.

18. Governing Law & Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of the State of Delaware, United States, without regard to its conflict-of-law provisions. Any disputes arising from or relating to these Terms or the Services shall be resolved through good-faith negotiation. If a resolution cannot be reached, the dispute shall be submitted to binding arbitration in accordance with the rules of the American Arbitration Association, with proceedings conducted in the State of Delaware.
